How to scan gear tags on PlayerKit to hand equipment out, check it back in, and what happens if you lose signal at the table.

Before you start: you'll need a staff sign-in with access to this club. If you're running a busy table, open the app once while you still have signal — it saves a copy of your roster and storage locations on the device for offline work later.

GETTING STARTED

Scanning a tag

Point your phone's camera at the tag, or type the short code printed on it. Either way lands you on the same screen for that item, with a list of things you can do — the exact list depends on the item and your role.

HANDING GEAR OUT

Checking gear out

Scan the item and choose Hand off, then pick who it's going to. You'll be asked what kind of hand-off:

  • Hand off (temporary) — for a short-term loan. No season commitment attached.
  • Issue for the season — adds it to the player's gear list with a return owed at season end. This one needs a connection — if you're offline, only the temporary hand-off is available.

TAKING GEAR BACK

Checking gear in

Scan the item and choose Return to storage. This just ends whoever's holding it — it doesn't put the item in a bin. To also record which bin it landed in, scan the bin's own tag afterward and choose "Put gear away here."

Doing a whole pile at once? Start a hand-off session and keep scanning — each tag adds to a basket, and one "Save all" applies the same action to everything in it. Handy for a stack of jerseys or a full equipment bag.

NO SIGNAL AT THE TABLE?

Scanning without a connection

Rinks, fields, and gyms aren't known for great signal — scanning still works without one. Check-ins, hand-offs, and marking something lost or needing repair all still work; you'll see "Saved offline — it'll sync when you reconnect." Nothing is lost, and nothing is double-counted when it syncs.

A small tray keeps count of what's still waiting to sync. Once you're back online, it syncs on its own (or tap Sync now). Each queued scan is re-checked against the real record before it's applied — so if something changed in the meantime (the item was already moved by someone else, say), it's flagged for your review instead of silently overwriting.

One catch: picking who to hand something off to, offline, only works for people already saved to your device — which happens automatically the last time you had a connection. If your roster's never loaded on this device, connect once before heading somewhere without signal.

COMMON QUESTIONS

Troubleshooting

My camera won't scan the tag.

Type the short code printed on the label instead — every tag has one, and it works exactly the same as a camera scan.

A queued scan needs my attention — what happened?

Something about that item changed between when you scanned it and when it synced — someone else may have moved it, or the holder's no longer eligible. Nothing was applied automatically; open the tray and review it before deciding what to do.

Can I issue gear for the season with no signal?

Not directly — that one needs a connection. Use a temporary hand-off instead, and convert it to a season issue later once you're back online, if that's what it should be.

I don't see the action I need on this tag.

The list only shows what's actually possible for that item right now, based on its current status and your role. An item already checked out, for instance, won't offer "Hand off" again until it's checked back in.
